Volunteer Roles and Responsibilities

Pantry Operations Volunteers
Primary Responsibility: Ensure the smooth and organized distribution of food items to clients.
Duties:
Greet clients warmly and check them in
Pack and distribute food boxes or bags
Restock shelves and organize pantry items
Assist clients with carrying groceries, if needed
Maintain a clean, welcoming, and respectful environment
Inventory & Stocking Volunteers
Primary Responsibility: Maintain proper inventory levels and ensure food safety standards are met.
Duties:
Receive and sort food deliveries
Inspect items for expiration or damage
Organize storage areas and pantry shelves
Rotate stock using the "First In, First Out" (FIFO) method
Track inventory using paper or digital logs
Admin Support Volunteers
Primary Responsibility: Assist with clerical tasks that support pantry operations.
Duties:
Answering phone calls
Help schedule client appointments
Maintain client records and intake forms
Manage pantry email communications
Assist with grant paperwork or donor correspondence
Outreach & Fundraising Volunteers
Primary Responsibility: Raise awareness and secure community support for the pantry.
Duties:
Assist in planning fundraising events
Distribute flyers and posters in the community
Help with grant writing or donor appeals
Develop fundraising campaigns to meet financial goals.
Identify potential donors and sponsors, build and maintain relationships and communicate the food pantry's missions and needs.
Facilities & Maintenance Volunteers
Primary Responsibility: Maintain a clean, safe, and functional facility.
Duties:
Clean and sanitize pantry areas before/after open hours
Perform basic repairs or report maintenance issues
Set up and break down tables and chairs as needed
Special Events Volunteers
Primary Responsibility: Support occasional events such as holiday drives, community meals, or workshops.
Duties:
Help with setup, decorating, and event logistics
Serve food or distribute gifts during events
Assist at registration or sign-in tables
Volunteer Shopper
Primary Responsibility: Procure food and supplies from partner organizations or retail outlets.
Duties:
Shop for discounts at stores for specific pantry needs
Track purchases and receipts as required
Volunteer Coordinator Assistant
Primary Responsibility: Support the Volunteer Coordinator in managing the volunteer base.
Duties:
Help schedule volunteer shifts
Onboard and train new volunteers
Track volunteer hours
Assist in planning volunteer appreciation and training events
